Overview

Clean Nova Scotia Foundation (“Clean”, “we”, “our” or “us”) is committed to protecting the privacy and security of your personal information.  We are responsible for the personal information we collect and hold.  To ensure this, we have developed this policy, and trained our representatives about our policies and practices.  This Privacy Policy outlines the types of personal information we collect, how it is used, and the steps we take to ensure that it is protected.

Please read this policy carefully to understand how your personal information will be treated as you make use of the Clean web site (the “Site”) and the services we offer.  By using the Site or any of the services we offer, you agree to the terms and conditions of this Privacy Policy.

Please be aware that the Site may contain links to third-party web sites and that this Privacy Policy does not apply to such web sites. Clean is not responsible for the privacy practices, content, or conduct of or on such web sites.

Collection of Personal Information

What is personal information?

Personal information refers to any information that identifies you or by which your identity could be deduced. Depending on the services you request of Clean, this may include information such as your name, address, e-mail address, telephone number, and other contact information.  For example, when you register for a program, order products, ask to be added to a mailing list, attend meetings or workshops, participate in committees, consent to take part in a research project, apply for a grant or send us any correspondence or feedback, you supply Clean with personal information.

How does Clean use my personal information?

We may collect personal information in order to provide services to you. We will use your personal information only to supply services, send information, reply to questions, or address problems, where necessary. The content of your correspondence or feedback may be shared with appropriate people within Clean to help us address your concerns or improve our services. We may keep a record of that correspondence.

Clean does not sell personal information. We use and disclose your personal information in accordance with this Privacy Policy and only for the purposes for which the information was collected.

How do we collect personal information?

We collect information only by lawful and fair means and not in an unreasonably intrusive way.  Wherever possible, we collect your personal information directly from you.  Sometimes we obtain information about you from other sources which, depending on the type of services we provide to you, may include government agencies and departments including, without limitation, schools, Efficiency Nova Scotia, or the provincial property assessment records.

In addition, the Site uses “cookie” technology and logs IP addresses and browser information for purposes of system administration, identifying technical difficulties, evaluating traffic patterns and usage of the Site, and otherwise providing content relevant to users of the Site. We do not use cookies to identify individuals and we make no attempt to link IP addresses to an individual except in compliance with authorized law enforcement investigations.  A “cookie” is a small piece of data which is sent from a web site and stored locally on a user’s computers. A cookie is not a computer program and cannot perform operations or harm your computer. Cookies do contain some personal information, which can only be read by the web site that supplied it. Cookies are used to help identify unique visitors to a web site, track purchases and registrations, remember preferences, and similar functions and can help a user access their data or remember passwords.  If you are concerned about the use of cookies, you can adjust your browser settings to block or restrict cookies and you can delete cookies from your hard drive after you visit a web site.

Protection of Personal Information

When you provide personal information to Clean, it is stored on secure servers and protected by this Privacy Policy, regardless of where the servers may be located. Clean takes reasonable steps to protect your personal information from loss, misuse, and unauthorized uses. Clean cannot, however, guarantee that loss, misuse, or unauthorized use will never occur (e.g., that someone will not overcome our security measures).

Accountability

Clean is accountable to you. We are responsible for all personal information in our possession, including any personal information that is transferred to third party service providers for processing, storage, or other purposes.  Our third-party service providers are required to enforce privacy policies no less stringent than ours.  We have a Privacy Officer who is accountable for compliance with these privacy and security principles.

Limiting collection

Clean will only collect information required to provide the required services.  The services may include some of the following: issue or replace certificates of program completion; trace program delivery and participation; ensure that product and service orders are fulfilled; process billing and payments (if any); advise interested parties about new and revised products and services; maintain current mailing lists for our publications; record personal information supplied by participants in Clean’s programs; and maintain current contact information for distributing notices, correspondence, newsletters, and other communications to interested parties.

Limiting use, disclosure and retention

Clean will only use and disclose your personal information as permitted by law. Unless otherwise permitted or required by law, Clean will not provide your personal information to third parties without your consent.

Information collected for ordering products and services will be used only to ensure that orders are shipped and delivered correctly; to process billing and payment; to track sales and registration; and to inform interested parties of new and revised products and services.

Subject to legal restrictions and upon reasonable notice to Clean, you may withdraw your consent for our use of personal information at any time. Information may be retained by Clean for audit or archival purposes or as required by law.

Accuracy

Clean strives to keep your personal information up to date, accurate, and relevant for its intended use.

Safeguards

Electronic data is secured using current methods and is restricted to Clean personnel required to use the information.

You may have access to your personal information stored by Clean by contacting us at the address set out below.

Individual Access

Your request for access to your personal information will be answered as soon as reasonably possible. If it is determined that a correction to the information is required, Clean make that correction.

Changes to the Privacy Policy for the Site

Clean reserves the right to change this Privacy Policy from time to time and at its sole discretion. If the Privacy Policy for the Site changes, the revised policy will be posted at the Privacy Policy link on the Site’s home page.
